Privacy statement

Who we are

AstroLink is a sole proprietorship, also trading as Klusvangen, located at Hofmark 365, 1355 JG Almere, the Netherlands, and registered with the Dutch Chamber of Commerce (KvK) under number 42190511. For questions about your details, email contact@astrolink.cc.

This website

This site (astrolink.cc) sets no cookies and uses no third-party advertising or trackers. Fonts and images come from our own server, so your browser does not connect to Google or other parties for the content of the page.

To see which pages are visited we use Umami, a visitor statistics program that runs on our own server (stats.astrolink.cc). Umami uses no cookies, does not store your IP address and does not follow you across other websites. We only keep anonymous counts, such as page, referring site, browser and screen size. If "Do Not Track" is turned on in your browser, we do not measure your visit.

To show the site we process technical data about your visit: your IP address, the time, the page you request and the type of browser. We do this to keep the site secure and available (legitimate interest). We do not use this data to follow you or build a profile. We keep these server logs for at most 90 days.

Traffic to the site goes through Cloudflare, which protects the site against attacks and makes it faster. Cloudflare processes your IP address for this and may do so outside the EU. Cloudflare participates in the EU-US Data Privacy Framework. The site and our apps run on a server we manage ourselves, rented from Hetzner in Germany (EU). Hetzner is therefore our processor.

Accounts

For AstroLink ID, the dashboard, the partner portal and the file environment (files) you need an account. For this we process your name, email address and login details. This is necessary to perform our agreement with you. We keep these details until your account is deleted.

To keep you logged in, these apps set a functional session cookie. Without that cookie you cannot log in, so no consent is needed for it. We do not use it for anything else.

If you are under 16, you need permission from a parent or guardian for an account.

Partners who refer businesses

If you refer businesses to us as a partner, we record your name, email address and the details needed to pay out your fee. Of the business you refer, we record the business name and contact details, and when it was referred. We keep these details until the fee has been paid, and after that for seven years for our records, because the law requires it.

Conversations between partners and businesses

A partner can record in our partner portal (aanbrengers.astrolink.cc) that they have had a conversation with a business they referred to us: the date, the type of conversation, the outcome, the next step and a short note. We do this so that the collaboration with the business and with the partner goes well (legitimate interest).

Only if the business's contact person gives their own consent beforehand (legal basis: consent) can the partner record the conversation and add the recording (audio) or a written version (transcript). We send a recording to Grok, an AI service from xAI in the United States, which turns it into text. That recording contains your voice and everything that is said; names and other details cannot be removed from it beforehand. We delete the recording immediately after the text has been made, even if making the text fails, and xAI does not keep the recording. Before we have the text analysed, we remove names, email addresses, phone numbers and other identifying details as well as we can. We have the remaining text summarised and assessed by Grok from xAI. xAI is our processor for this. The transfer to the United States is based on the European Commission's standard contractual clauses, and xAI does not keep what we send (zero data retention). The AI only gives advice; nothing is decided about you automatically. You can always refuse to have a conversation recorded.

We delete the transcript 30 days after it was added; we do not keep the recording itself. We keep the summary and the assessment for as long as we keep the business's registration. You can always withdraw your consent via contact@astrolink.cc; we then delete the transcript right away.

Demos

For a demo of your website we use public business information, such as your business name, KvK number, address and reviews. If you do not become a customer, or we get no reply from you for 14 days, we take the demo offline and delete the details we used for it.

If you email us or fill in the form

If you email us or fill in the contact form on the site, we use your name, email address, business name, phone number (if you give it) and what you tell us to reply to you and to make a demo. Our server forwards a submitted form to us as an email straight away; the website itself does not store it. To limit abuse, the server remembers your IP address for at most fifteen minutes, in memory only. If you become a customer, we keep the details needed for our records for seven years, because the law requires it. If you do not become a customer, we delete your email once the contact has ended. Our bookkeeping runs through Moneybird; it only holds the details of customers and suppliers.

We do not sell your details and do not share them with anyone other than the parties named here.

Your rights

You may ask which details we hold about you, and have them corrected, deleted or transferred. You may also object to their use. To do so, email contact@astrolink.cc; we respond within one month. If you disagree with how we handle your details, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
